Let’s face it: live events are high-stakes, high-pressure environments—and when AV fails, everyone notices. Whether it’s a silent mic, a blank screen, or a painfully off-beat video cue, tech slip-ups can derail even the best-laid plans.
We’ve seen our share of horror stories (from a distance, of course). And while we won’t name names, we will break down some real-world AV fails that make us cringe—and what we do to make sure they never happen to you.
1. The Mic That Wasn’t On (Or Was On Too Soon)
The moment: The keynote speaker walks on stage to roaring applause… and no one hears a thing. Or worse—everyone hears them muttering their nerves into a live mic backstage.
Why it happens: Dead batteries, incorrect channel routing, or a missing sound check.
How we prevent it:
- Full mic checks with presenters on location
- Fresh batteries or rechargeable packs swapped in before every show
- Live monitoring and mute/unmute control by our A1
2. The “It Worked on My Laptop” Moment
The moment: A presenter plugs in, and the screen goes black. After five minutes of fiddling, we’re all watching someone’s cluttered desktop and email notifications instead of their product demo.
Why it happens: Resolution mismatches, missing adapters, or reliance on hotel-provided cables.
How we prevent it:
- Bring every adapter imaginable (yes, even the one for that ancient PC)
- Preload content on show laptops for guaranteed compatibility
- Test each device before go time—never during
3. The “Phantom Cue” That Played the Wrong Video
The moment: A video rolls… but it’s the wrong video. A different client. A different product. Total confusion.
Why it happens: File naming errors, poor cue labeling, or an overworked show operator juggling too many layers.
How we prevent it:
- File naming conventions that even our sleep-deprived crew can follow
- Locked playback software with visual preview
- A “no surprises” tech rehearsal where every cue is double-checked
4. The Wi-Fi Went Down... and Took Everything With It
The moment: A high-tech booth depends on live demos. A weak network brings everything to a halt—including attendee check-ins.
Why it happens: Overloaded venue networks or shared bandwidth with 500+ attendees.
How we prevent it:
- Bring our own routers, switches, and VLANs
- Isolate critical systems from public Wi-Fi
- Preload backups and create hardline redundancy
5. The “Can You Hear Me Now?” Panel Discussion
The moment: One mic is way too hot, another is dead, and the third sounds like it's underwater. The panelists look annoyed. So does the audience.
Why it happens: Uncalibrated soundboards, missing EQ, and no on-site audio engineer.
How we prevent it:
- Dedicated A1 (audio tech) managing levels in real time
- Proper mic placement + soundcheck with every speaker
- Wireless redundancy and instant signal correction tools
Bonus Fail: The Emergency That No One Planned For
The moment: Power flickers. A projector resets. Panic sets in.
How we prevent it:
- Battery backups (UPS) on every critical component
- Fast boot protocols and cue memory
- A calm crew that’s been there, fixed that, and kept the show moving
The Lesson? You Only Notice AV When It Fails.
